Overall act as team assistant to the local team
• Coordinate and plan meetings, prepare agendas, minutes of meetings and documents and follow up on issues after meetings as required
• First point of contact at reception, receiving internal and external inquiries and guests, prepare visits accordingly
• Support planning and organising of seminars, conferences and venues
• Proactively keep track of deadlines
• Admin assistance: travel planning and travel expenses, taking minutes, handling of time registrations, invoices etc.
• Reply to internal/external inquiries
• Presentation and reporting support: Develop presentations and reporting structures for defined meetings
and manage documents and reports in advance of and subsequent to meetings
• Assisting the team in establishing/maintaining close contact to internal and external co-operation partners
In particular act as personal assistant to GM APAC, as fiduciary employee:
• Full access to APAC GM correspondence etc.
• Read all mail, delete, categorize and prioritize and prepare answers etc for APAC GM
• Respond on behalf of APAC GM
• Approve bills, requests etc. in SAP on behalf of APAC GM
• Have access to highly confidential and sensible material via meetings, mails, war room meetings etc
• Participates in management, strategy, budget meetings in APAC general management, responsible for all the material has been proof read and ready.
• Executive Meetings: Ensure proper long-term planning of meetings with strategic partners and executive meetings, delivery of material in right quality in due time, taking minutes and ensure follow-up on actions between meetings
