The key responsibilities of the Service Order Management coordinator are to ensure Service Orders & Contracts are well created and booked according to Customer′s Purchase Orders.
Ensuring all relevant detailed information are correctly recorded to allow the service execution team to properly implement the service delivery.
For Flow business (transactional, simple orders not requiring a project engineer), the Order Management coordinator will also execute the order(End to End cycle from order booking until order completion, including Gross Margin control).
Activities and areas of responsibility
A. Review Customer’s Purchase Orders and validate the following information.
B. Book and set billing plan
C. Post Booking Executions
Main interactions
A. Sales, Service Sales, Planners, Project Managers, Finance and Procurement, Global Supply Chain, Logistics.
B. Customers, Suppliers and Subcontractors.
Key Success Factors
A. Customer satisfaction by ensuring that the SoW is executed
B. Time to book, to raise Purchase requisition, to invoice
C. All WO created at booking stage with right entitlement
D. Timely update of customer and SE internal stakeholder
E. Part availability control Lead Time & delivery
Performance measurement (KPI‘S)
A. Order Booking time
B. Order Booking accuracy (Installed base attached, quoted time…)
C. Purchased Order Requisition
D. Invoicing triggered
E. No overdue payment
F. No GM slippage for order managed
Education and skills
A. 5 years professional experience preferably in sales administration
B. Meticulous to Details to ensure accuracy
C. Ability to communicate effectively with various internal departments and external customers
D. Familiar with ERP and CRM, such as SAP and Sales Force.
